Practical workflow guides

The phone rings while you're on a ladder. AI drafts the text back.

New leads get your short reply at once. AI drafts the follow-up. Estimates drafted from your price book. Open bids followed up. You approve what goes out. Want software of your own? Service OS Pro runs the whole job.

You're good at the work. The office work is the problem.

Missed calls are missed jobs.

You're on a job when the phone rings. The homeowner books whoever calls back first.

Estimates eat your nights.

You write them after a full day on jobs, from memory or an old spreadsheet, so they go out days late.

Nobody follows up on open bids.

The estimate goes out and nobody owns the follow-up, so good jobs die of silence.

Every job calls you.

Techs need a yes on extra work and the office needs a price, so your phone never stops.

Paperwork happens twice.

Techs write it down in the field, and the office types it again at night.

You get paid late.

Invoices go out days after the job, and nobody chases the ones that sit unpaid.

Four jobs an assistant can draft

New Lead Responder

A reply within minutes that answers the basics and offers times to talk. Never quotes a price or promises a date. Reviewer: Whoever owns new clients. Measure: Time from inquiry to first reply.

Estimate Drafting Assistant

A first estimate from your price book, for you to check and send. Never sends a price without your approval. Never changes your price book. Reviewer: Whoever signs off on estimates. Measure: Time from walkthrough to the customer having a price.

Estimate Follow-Up Assistant

A friendly follow-up text that references the job. Never changes the price or the scope. Reviewer: The person who wrote the estimate. Measure: How many estimates get a reply, and how fast.

Payment Reminder Assistant

A polite reminder with the invoice and a payment link. Never offers a discount or a payment plan. Never threatens, escalates, or contacts anyone but the client. Reviewer: Whoever handles billing. Measure: Days from invoice to payment.

Map the work before implementing it.

The free Snapshot helps choose one workflow. The paid Diagnostic documents the current process, baseline, ownership, decisions and proposed scope. Nothing is built during the Diagnostic. Implementation requires a separate written scope.

AI Operations Snapshot: Free. AI Operations Diagnostic: $1,000 once for 1 week, documents only; no implementation is included. Partnership Tiers: Direct Advisory at $2,500/month with 4 engineering hours a month; Strategic Partner at $4,500/month with 8 engineering hours a month; Fractional Product Lead at $7,500/month with 15 engineering hours a month. Each tier has a 3-month commitment and no onboarding fee. Sprint Add-Ons cost extra and require an active Partnership Tier.

It renews for another 3 months at the same price unless you give 30 days' notice before it ends. Renewal reminders and written notice follow the agreement. Licenses, hosting and AI usage are billed separately by the relevant vendors.

Questions owners ask first

Do I need Service OS Pro to use AI employees?

No. AI employees can work in your current job software if it can connect, and the Diagnostic checks that first. Service OS Pro is for shops that want one system of their own instead of a stack of apps.

Will AI quote prices to my customers?

Only prices you approve. The Estimate Drafting Assistant drafts from your price book, and you check and send it. It never changes your price book.

Will my crew actually use Service OS Pro?

We roll it out in the field, on real jobs, with your crew. Priority Electric, Black Pearl, JNK, and Power Puff each went live about three weeks after kickoff.

What does Service OS Pro cost?

A $3,500 Engagement Workshop, then $749/month fully managed, or $2,500/month × 12 to own it. Owning it doesn't end operating costs such as hosting, backups, and upkeep. The Service OS Pro pricing page shows what each includes.

What happens first?

The Diagnostic documents one workflow, its baseline, responsibilities and proposed scope. Nothing is implemented during the Diagnostic. Implementation is scoped separately through current Partnership Tier capacity and Sprint Add-Ons.
