The challenge
Job costing was manual and late, so margin was a guess until the invoice went out days later. Each quote was one number. Dispatch ran on phone calls, and the office spent afternoons retyping what techs had already written down.
What we built
- Mobile dispatch with the full job record in the tech's hand
- A digital price book with multi-option quotes built in
- Invoicing and payment on site, before the tech leaves the driveway
- A closeout rule: no job closes without its proof, and closing drafts the invoice
- Automatic dispatch and arrival texts to the customer
The results
Invoices go out the same day, < 2 hours after the job is done, instead of 6.5 days later. The unbilled field work, $15,000–$40,000 at any one time, now reaches an invoice 9 to 12 days sooner.
How we did it: Configured, not custom-coded. We wrote the closeout rule first (our glossary calls it Gatekeeper Logic), then set up their pricing and dispatch habits in Service OS Pro and rolled it out on real jobs.
