The challenge
Every estimate was typed from scratch, so pricing drifted and quotes were slow. Scope was agreed out loud, so change orders turned into arguments. Crews were juggled by phone, and a client asking for an update got whoever answered.
What we built
- Estimates drafted from their price book and a standard scope library
- Digital sign-off: no crew goes out without a signed scope, and no extra work without a signed change order
- Scheduling for multi-day jobs and crew rotation
- Automatic client updates for the life of the project
The results
Unapproved scope disputes fell from 3–4 a month to 0. We estimate that protects 8%–12% in gross margin. The Estimate Drafting Assistant drafts from their price book, so estimates go out in < 24 hours instead of 4.5 days.
How we did it: Configured, not custom-coded. We turned their estimating know-how into a reusable scope library, then rolled out with the office and lead painters together, so both trusted the same schedule.
