The Synergy Hub
Your tools, your client records and your AI employees, in one place.
The Synergy Hub is the single workspace where your existing software, your client records and your AI employees meet. It puts your data in one place and covers every part of the Six-Part Map, from Record to Guardrails.
Why it exists
You don't have a software shortage. You have a login problem.
Most growing businesses don't have a software shortage. They have a login problem. Your calendar is in one tab, billing is in QuickBooks or Stripe, signed contracts are in PandaDoc, call notes are in a recording app, and your pipeline lives in a spreadsheet that's always a week out of date.
None of these tools talk to each other, so your team spends hours copying and pasting, and any AI tool you try is working blind.
The Synergy Hub fixes that without making you rip out the software your team already knows. It connects your tools into one clean database and gives you a single dashboard to run your day, review what your AI employees have prepared, and see where your business really stands.
What's inside
Four things it does
One clean record for every client
A prospect messages you on LinkedIn, books a call on your calendar, then pays an invoice from a different email address. Most tools treat that as three strangers. The Synergy Hub links the pieces into one timeline: every call, email, quote and payment in order. Your AI employees have the full story before they draft a word.
Your daily approval queue
AI prepares, you decide
AI shouldn't send messages or change records behind your back. Overnight, your AI employees prepare pre-call briefs, call reviews, follow-up emails and content drafts in your voice. In the morning it all waits in one review queue. You read it, add a personal touch where it needs one, and approve.
Live pipeline and data health
The traffic-light check
See your whole funnel, from first contact to paid client, as it changes. Every connected tool shows a status: green when it's live and updating, yellow when it holds history only, red when it needs attention. You know which numbers you can trust.
Software you actually own
You shouldn't need a retainer just to keep your operations running. Once your Synergy Hub is built and paid for, and your team is trained to use and adjust it, the code, the database and the workspace transfer to you. Support from us is optional.
Built on the Six-Part Map
One record, every part covered
Work gets stuck in one of six places. The Synergy Hub starts with the first, your data in one place, and carries it all the way to the last. Read the Six-Part Map
Your data in one place. The tools you already use feed one record per client, so nobody checks two places to know the truth.
Every call, email, quote and note sits on the client's timeline, so the next person, and every AI employee, starts with the full story.
Every item in the review queue has a named owner and a backup, so stuck work gets noticed by the right person, not the customer.
Your written rules live in the context vault. AI employees draft against them, and only what the rules don't cover comes to you.
The live pipeline and the traffic-light check show what's working and what broke, before a customer tells you.
Nothing leaves the review queue until a person you name approves it, and a signed Never List says what AI never touches.
An example day
What a day looks like inside The Synergy Hub
An illustration of how the work moves, not a promise of results. Your Diagnostic measures your real numbers.
Before 8:00 a.m.
While you sleep
Your AI employees read yesterday's call transcripts, check who hasn't replied to a quote in a week, and scan your industry's news.
8:30 a.m.
Your morning review
Instead of opening a dozen browser tabs, you open The Synergy Hub. Waiting in the Today tab: follow-ups for leads who went quiet, content drafts in your voice, and a one-page brief for your 10:00 sales call.
8:45 a.m.
A few minutes of polishing
You approve the follow-ups, change two lines in a draft, and read your brief. Admin and writing that used to take your morning is done in minutes.
During the day
It keeps itself current
As calls happen and invoices get paid, the pipeline updates, broken data feeds get flagged, and post-call coaching notes are drafted for your team.
For your operations lead
How it works underneath
Three layers. AI does the drafting; a central database in your business's name holds the records.
Layer 1 · What your business knows
The context vault
A structured library of your procedures, pricing rules, sales playbooks, brand voice guide and best past examples. It's the rulebook every AI employee follows, so it works from your rules instead of guessing.
Layer 2 · What your business sees
The unified data layer
A central database in your business's name, connected to the tools you already use, such as your accounting, payments, calendar, CRM and email. It cleans, de-duplicates and links your records. We confirm each connection once we've seen your setup.
Layer 3 · Where your team works
The command dashboard and agent workspace
The screens your team works in: Today, Contacts, Pipeline, Intelligence and Agents. Alongside them, a workspace where your team asks questions of your business data in plain English and, with AI's help, sets up new workflows as your needs change.

The $1,000 Diagnostic

The build
An Operations System: $14,500, 5–6 weeks, at a fixed price. A Module covers a small overage.
How it's bought
A Synergy Hub is built as an Operations System: $14,500, one time, 5–6 weeks, with up to 7 core records, 6 screens, 2 user roles, and 3 integrations. A smaller Hub for one team can start as a Team System at $7,500.
It starts with the $1,000 Diagnostic, which locks the scope before anything is built. Builds are priced in full; the Diagnostic's fee is credited only toward a Partnership Tier.
A small overage is a fixed-price Module: Integration Module $1,200, UI View Module $1,500, and AI Skill Module $1,500. After launch, 30 days of Synergy Care are included, then Synergy Evolve at $1,250 a month keeps it growing.
Before you start
Questions owners ask first
Do I have to replace the software my team already uses?
No. The Synergy Hub connects the tools you already pay for and gives each kind of record one home. Your team keeps the apps they know. We confirm each connection once we've seen your setup, not on a sales page.
Does AI send anything on its own?
No. Your AI employees prepare drafts, briefs and updates, and they wait in your review queue. A person you name approves anything that sends, pays, deletes or changes a record.
Who owns The Synergy Hub?
You do, once it's built and paid for. The code, the database and the workspace transfer to your business, with documentation. AI usage is billed to you directly, and hosting too unless we run it on Synergy Care or Evolve.
How long does a Synergy Hub take to build?
An Operations System takes 5–6 weeks, after the one-week Diagnostic. The free Snapshot prices your answers first, and the Diagnostic locks the scope in writing before anything is built.
How is it different from Service OS Pro?
Service OS Pro is a ready-made system for trades businesses, sold at serviceospro.com. The Synergy Hub is built around your business, your tools and your records, starting from what the Diagnostic finds.
