The Field Manual / Real estate · Cost

What does an AI transaction coordinator cost?

The short answer

An AI transaction coordinator is not a single standardized product. Compare per-file human coordination, an in-house role, software you operate and separately scoped AI implementation. Include review time, usage and exception handling in the total cost.

Four ways to pay for transaction coordination

A freelance transaction coordinator charges per file or by an agreed scope. An in-house coordinator has salary and benefits. AI software adds a subscription and setup work. Scoped AI support adds engineering and ongoing vendor costs; it does not remove the human review step.

The original October 20, 2026 comparison cited published freelance rate cards of roughly $300–$500 per side. Treat that as historical context, not a current quote. Get a rate for your market, transaction type and responsibility before comparing.

What it drafts, and what it never does.

Contract signed: It pulls the dates from the contract and builds the checklist. You confirm each date before any reminder goes out.

Deadlines tracked: Earnest money, inspection, appraisal, financing, title, and closing, each with a reminder ahead of it.

Clients updated: Buyers and sellers get a plain-English update at each milestone, once you approve it.

Paperwork chased: Missing signatures and documents get a reminder that says exactly what's needed.

Wires flagged: Any message about wiring money goes to a person. It never confirms wire instructions.

Compare costs using your actual workload

Multiply your monthly files by the coordinator’s quoted fee. Compare that with scoped implementation, subscriptions, AI usage, review hours and exception work. Partnership Tier engineering hours are capacity, not an unlimited transaction-coordinator subscription.

Use the calculator and a written scope. Include setup and review time rather than assuming an unlimited flat-fee service.
