The Field Manual / Accounting · Month-end close

What can AI do in month-end close, and what can't it?

The short answer

AI can match receipts to bank transactions, suggest categories from each client's past entries, and chase missing documents. It shouldn't decide tax treatment, judge what's material, or sign off the close.

The sorting, matching and chasing.

Reads receipts from email, photos and your client portal: vendor, date, amount and tax

Matches each receipt to its bank or card transaction

Suggests a category and memo from that client's chart of accounts and past entries

Chases missing documents with a reminder that lists exactly what's missing

Drafts the questions about unexplained charges, for you to send

Flags receipts that match no rule or past entry, so your reviewer looks twice

The judgment and the sign-off.

Approving an entry. A person does, in a review queue, before anything posts.

Deciding tax treatment, or giving tax advice.

Judging what's material, or signing off the close.

Reconciling accounts, and booking accruals and adjusting entries.

Recovering a receipt that was never kept.

Touching a closed period or a reconciled transaction. Ours never does.

From receipt to posted entry.

Receipt in: Emailed, photographed, or dropped in the portal.

Read: Vendor, date, amount, and tax pulled from the receipt.

Matched: Paired with the bank or card transaction it belongs to.

Categorized: A category and memo suggested from that client's chart of accounts and past entries.

Approved, then posted: Your bookkeeper approves it in a review queue, then it posts to QuickBooks.
